Filled example: two visits and an approved extra
All names, job details, dates and amounts below are fictional. These prices demonstrate arithmetic, not market rates or recommended charges.
Invoice: DEMO-CL-026
Issued: November 5, 2026
Payment due: November 12, 2026, by the fictional agreement
Currency: USD
From: Demo Cleaning Studio; Demo business address; Demo business contact
Bill to: Sample Household; Demo customer billing address
Cleaning location: Demo property, Unit A
Service period: October 22 to November 5, 2026
Agreed scope: Two maintenance-cleaning visits, plus oven interior cleaning approved for the second visit.
| Service date | Service / included work | Quantity | Unit | Rate | Amount |
|---|---|---|---|---|---|
| Oct 22, 2026 | Kitchen surfaces, bathroom, dusting and floors | 1 | visit | $120.00 | $120.00 |
| Nov 5, 2026 | Maintenance clean, same scope | 1 | visit | $120.00 | $120.00 |
| Nov 5, 2026 | Oven interior clean, approved extra | 1 | oven | $35.00 | $35.00 |
| Calculation | Amount |
|---|---|
| Subtotal | $275.00 |
| Agreed discount | -$15.00 |
| Illustrative total before any applicable tax | $260.00 |
| Payment already received for this invoice | -$100.00 |
| Illustrative balance before any applicable tax | $160.00 |
Tax is not modeled in this example. It is not assumed to be zero or inapplicable. Determine the applicable treatment and recalculate the invoice total and balance before using this example for a real job.
Payment method: Check, per the fictional agreement. On a real invoice, supply the actual agreed payee and delivery details, with DEMO-CL-026 replaced by your own invoice reference.
Scope note: Oven cleaning is the separately approved extra. Window washing and carpet shampooing are not included.
How to fill out your cleaning invoice
- Identify the invoice and customer. Give it a unique reference, issue date and agreed due date. Keep the billing address separate from the cleaning location when they differ. Invoice Simple's cleaning-invoice guidance also recommends an invoice number, issue and due dates, a service breakdown and the total due.
- Choose one pricing basis for the same work. Use a flat amount per visit or total cleaner-hours, not both for that work. An approved extra can use its own unit, such as one oven. Two cleaners working two hours each equals four cleaner-hours. At the fictional $30 hourly rate, that is $120: an alternative to one $120 visit line, not an additional charge.
- Describe included work and approved extras. Separate the oven extra from routine kitchen cleaning. Do not add another charge for supplies or tasks already included in the agreed visit price.
- Calculate the remaining balance. Add line amounts, subtract the agreed discount, include any verified applicable tax, then subtract payments already received for this invoice. Check that a recorded payment belongs to this invoice rather than another visit.
- For repeat customers, list each visit date. Review that period's scope and charges, then manually prepare a new invoice with a new reference for the next billing period. A repeat schedule is not permission to charge a customer's card automatically.
Check before sending
Replace every placeholder and fictional detail. Confirm the service address, visit dates, agreed scope, due date, payment instructions and arithmetic. Leave out private entry or alarm codes.
This form is a practical starting point, not a guarantee of legal or tax compliance. Verify local tax treatment and any requirements that apply to your business independently. Resolve those details before treating an amount as the final balance due.
Prefer to prepare invoices in an app?
If you want PDF invoice preparation instead of editing the form manually, Fair Invoice supports invoice and estimate PDF sharing. Unlimited estimates and the first 10 invoices are free; unlimited invoices require a one-time in-app unlock, as described on the official app page.
Fair Invoice has no card processing. It does not charge the customer's card for you; arrange the actual payment method separately.
FAQ
Should I bill by the hour or by the visit?
Use the pricing basis agreed with the customer. For hourly work, show total cleaner-hours and the rate. For flat-price work, show the visit and its included scope. Do not bill both for the same work.
Can I put multiple cleaning visits on one invoice?
Yes. Use a separate dated row for each visit within the agreed billing period, with approved extras identified separately. The example above shows two visits on one invoice.
How do I show a payment already received?
Show it below the invoice total and subtract it to calculate the remaining balance. In the example, $260 minus $100 leaves $160 before any applicable tax. This is a manual calculation, not a demonstration of automatic payment reconciliation.
Can I copy and print this without an app?
Yes. Copy the blank form into your editor, fill it in and use the available print or PDF option. Check the preview before sending; no hosted download is required.
Will Fair Invoice charge my customer's card?
No. Fair Invoice has no card processing. Preparing or sharing an invoice is separate from collecting payment.
