The example assumes no tax is due solely to demonstrate the arithmetic. It does not determine whether your work or materials are taxable.

Check the amounts in this order:

  • Labor: 1.50 × $65.00 = $97.50, plus 0.75 × $65.00 = $48.75, totaling $146.25.
  • Materials: $18.50 + $12.75 = $31.25.
  • Invoice total under the example's no-tax assumption: $146.25 + $31.25 = $177.50.
  • Balance after the prior payment: $177.50 − $25.00 = $152.50.

The $25 payment reduces the amount still owed. It is not a discount and is not subtracted again from the labor or materials rows.

Fill it in and check the balance

  1. Identify the invoice and job. Choose a unique invoice number. Add the customer, billing address, service address and actual work dates so the bill points to one visit.
  2. Describe each agreed task. “Adjust interior door and replace hinges” explains more than “repairs.” Reference the estimate if you used one, and describe authorized extra work separately.
  3. Choose a billing basis for each task. Multiply hours by the agreed hourly rate. For a flat-fee task, use quantity 1 and the agreed fee. Do not bill the same work both ways unless explicitly agreed.
  4. Separate supplied materials. List quantities and unit prices for items you supplied. Note customer-supplied parts separately without adding them to your materials charges.
  5. Resolve tax and adjustments. Add only agreed other charges, apply any agreed discount, and confirm the applicable tax treatment before finalizing the invoice total. Do not simply reuse the example's zero tax.
  6. Credit money already received once. Subtract the prior payment from the invoice total to get the balance due. Check the payment against your records rather than guessing.
  7. Make payment instructions usable. Enter the agreed due date, payment method and real payment destination. Ask the customer to use the invoice number as the payment reference.

Copy, print or save a PDF

After editing, remove unused rows and search for any remaining brackets or sample details. Recheck line-item multiplication, subtotals, tax and the prior-payment credit.

Choose Print in your editor. Preview the pages for clipped columns, awkward page breaks and missing payment instructions. Print on paper, or select your system's Save as PDF option if available. Open the saved file and check it before sharing it with the customer. Keep a copy for your records.

There is no separate downloadable file or hosted document to unlock here: the complete editable text is above.

When an invoice app helps

If you would rather create invoices in an app than maintain this document, the official Fair Invoice page lists unlimited free estimates and the first 10 invoices free, then a one-time purchase to remove the invoice limit, with no subscription. It also describes PDF sharing and sending from your own mail app.

Fair Invoice has no card processing. Creating or sharing an invoice does not collect a customer's card payment for you. The template is still free to use without the app.

Frequently asked questions

Can I mix hourly and flat-fee tasks?

Yes. Label the billing basis on each row. For example, keep the door repair hourly and enter a separately agreed flat-fee task as quantity 1. Avoid duplicate charges for the same work.

How do I show a part supplied by the customer?

Use the “Customer-supplied parts (not charged)” line. In the example, the existing cabinet handle is noted there, while the hinge set and catch supplied by the business appear in the materials charges.

What if the customer already paid a deposit?

Show the amount received as a prior-payment credit below the invoice total. Subtract it once to calculate the remaining balance, as the $25 credit does in the example.

Is this template free without Fair Invoice?

Yes. Copy, edit and print the template directly from this page without signup or an app purchase. The app's first-10-invoices allowance is separate from using this text template.

Can customers pay by card through Fair Invoice?

No. Fair Invoice does not process card payments. Put the payment method and actual destination you agreed with the customer on the invoice; do not assume a shared PDF includes a card checkout.
